This Privacy Policy explains how Courtney Fraser, acting for the voluntary TBGTE Golf League (“TBGTE,” “we,” “us,” or “our”), collects, uses, stores, and shares information in the TBGTE Golf League mobile application (“App”) and related TBGTE services.
The App is a private league-management and golf-scoring tool. It is intended for authorized TBGTE league members and administrators. By using the App, you acknowledge the practices described in this Privacy Policy.
1. Information We Collect
We collect and process only the information reasonably needed to operate, secure, and improve the App and TBGTE league services.
League account and membership information. The App uses existing tbgte.org league credentials. The App does not create a separate mobile-app account. Depending on the information maintained by the league website, this may include your username or account identifier, name, email address, league membership status, administrator role, team assignment, and related league information. Your password is used to authenticate through the existing tbgte.org login system and should not be stored by the App in readable form.
Golf and league information. We collect and display information needed to operate the league, such as player names, scores, scorecard entries, match results, schedules, tee times, standings, handicaps or league-calculation information where applicable, and league administration records.
Scorecard scanning information. The App may allow a user to scan a golf scorecard using the device camera in order to assist with score entry. The scorecard image is used to identify and extract score information. Unless an administrator or user expressly saves or submits an image through a future feature, scorecard images are intended to be processed for score-entry purposes and are not retained as a permanent league record. The resulting score data may be stored in the league database.
Notification information. If you allow notifications, we may use a device notification token and related app information to send league-related notifications, such as tee-time notices, score reminders, schedule changes, and league announcements.
Technical and security information. Our website, API, hosting providers, and notification services may process limited technical information necessary to deliver and secure the service, such as IP address, device or app version, operating-system information, browser or user-agent information, request logs, and notification delivery information.
2. Information We Do Not Collect
The App does not currently collect or use:
- Precise or approximate GPS location data.
- Payment-card, bank-account, or other payment information.
- Contact lists, call logs, text messages, or microphone recordings.
- Advertising identifiers for targeted advertising.
- Biometric templates, fingerprints, facial-recognition data, or similar biometric information.
The App may offer optional biometric sign-in after an initial successful login. Biometric authentication is handled by your device and operating system. We do not receive or store your fingerprint, facial scan, or other biometric template.
The App does not currently use GPS or other location data. If a future version adds course-mapping or location-based functionality, we will update this Privacy Policy and any required store disclosures before collecting location information.
3. How We Use Information
We use information to:
- Authenticate authorized league members and protect access to the App.
- Maintain golf scores, scorecards, standings, schedules, tee times, and league records.
- Display league information to authorized members and administrators.
- Provide, manage, and send league communications and notifications.
- Allow authorized administrators to import or export league scoring information for league administration.
- Maintain the security, reliability, and performance of the App, website, database, and APIs.
- Respond to support, privacy, and account-related requests.
- Comply with applicable legal obligations and enforce league rules where necessary.
4. Who Can See League Information
League scores, standings, schedules, and other league-related information are restricted to authenticated, authorized TBGTE league members and administrators. A user who is not logged in cannot view scores or other protected league information through the App.
Player names may be visible to authenticated TBGTE league members in connection with scores, standings, schedules, teams, and other ordinary league functions. Authorized league administrators may access information needed to administer the league, resolve scoring issues, manage memberships, and operate the App.
5. Service Providers and Sharing
We do not sell personal information. We do not use personal information for targeted advertising, and we do not share personal information with advertisers or data brokers.
We may use service providers that process information on our behalf to operate the App and related services. These providers may include:
- InMotion Hosting for website, server, database, and related hosting services.
- Firebase services, including Firebase Cloud Messaging, to deliver push notifications and support App functionality.
- Email service providers used to send league-related communications such as tee times, reminders, schedules, and announcements.
These providers may process only the information needed to provide their services. We may also disclose information when reasonably necessary to comply with law, respond to valid legal process, protect the security of the App or users, or protect the rights, safety, and property of TBGTE and its members.
6. Analytics and Tracking
The App does not use advertising tracking and does not sell or share personal information for targeted advertising. The App does not currently use Firebase Analytics. If we enable Firebase Analytics or another analytics service in a future version, we will update this Privacy Policy and our App Store and Google Play privacy disclosures before or when that change takes effect, as appropriate.
7. Data Storage and Security
TBGTE website and league database services are hosted through InMotion Hosting and use PHP and MySQL technology. The App communicates with TBGTE services through application programming interfaces (“APIs”). We use reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, disclosure, alteration, or destruction.
We use encrypted connections, such as HTTPS, when transmitting information between the App and supported services where available and properly configured. No security method is completely secure, and we cannot guarantee absolute security.
8. Data Retention and Deletion
We retain account, league, and score information for as long as reasonably necessary to operate the TBGTE Golf League, maintain league records, resolve disputes, meet legal obligations, and enforce league rules.
You may request deletion of your TBGTE account and associated personal data by contacting mobile@tbgte.org . You may also use the account-management options available on tbgte.org, where provided. We may ask for information necessary to verify your identity before completing a deletion request.
When an account is deleted, we will remove or de-identify personal account information to the extent reasonably practicable. Historical score records may be retained in a de-identified or unlinked form when necessary to preserve the integrity of league standings, historical results, and records. A deleted account will no longer be able to access the App. Account disabling or deactivation is separate from account deletion and does not replace a deletion request.
9. Your Choices
- You may choose whether to enable push notifications through your device settings.
- You may choose whether to enable biometric sign-in; standard sign-in remains available.
- You may contact us to request access to, correction of, deletion of, or information about your account data, subject to applicable law and reasonable verification.
- You may withdraw camera permission through your device settings; scorecard scanning will not work without camera access.
10. Children’s Privacy
The App is intended for TBGTE league members and is not directed to children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information through the App without appropriate authorization, please contact us at mobile@tbgte.org so that we can review and address the request.
11. Changes to This Policy
We may update this Privacy Policy when App features, service providers, or legal requirements change. We will post the revised version on this page and update the effective date above. If a change materially affects how we handle personal information, we will provide additional notice where required by applicable law.
